By registering for lessons at De Molen ArtHouse, you agree to the following terms. These guidelines are designed to ensure a smooth, fair, and inspiring musical journey for our students, teachers, and community.

Instruments/Singing lessons

1. Lesson Structure & Commitment

  • Semester System: Lessons are organized into two semesters per year, each consisting of 20 lesson weeks. The school year follows the official school schedule, including designated holiday breaks and a catch-up week in July. The complete academic calendar for 2026-2027 can be found here.

  • Membership Types: Students enroll in specific lesson memberships (e.g., Weekly 30/45/60 mins, Bi-weekly, Duo Piano, or Short-term 5-lesson cards).

  • Weekly packages guarantee a fixed time slot for the entire semester.

  • Bi-weekly packages are only available if two students share the same slot on alternating weeks to ensure consistent scheduling. Once enrolled, they also guarantee a bi-weekly fixed time slot for the semester.

  • Short-term cards (5 lessons) must be consumed within the semester of purchase and are scheduled by appointment based on teacher availability.

  • Fixed Schedule: Upon enrollment, a specific day and time are reserved for the student. This commitment ensures stability for both the teacher and the student throughout the semester.

2. Payments & Registration

  • Payment Responsibility: De Molen ArtHouse manages all financial transactions. Parents/guardians or students pay tuition directly to the school.

  • Payment Schedule: Tuition must be completed during the enrollment periods. Those are May-June, for the winter semester and December- January for the spring semester. Payment secures the student's spot for the full 20-week semester.

  • Later enrolments: Enrolments outside of the previously mentioned periods will be subjected to €50 administration fee.

  • Late payments: Payments must be before the expiration date of each invoice. Late payments might subject to a €20 fee.

  • Non-Refundable Commitment: Once a semester package is purchased, the fee is non-refundable. This policy allows us to guarantee a fixed income for our teachers and secure their time exclusively for our students.

  • Renewal: Subscriptions do not renew automatically. To continue lessons into the next semester, a new package must be purchased during the enrollment periods.

3. Attendance & Absences

  • Teacher Absence: If a teacher is unable to attend a lesson due to illness or emergency, the lesson will either be rescheduled at a mutually convenient time or a qualified substitute will be arranged.

  • Student Absence: If a student misses a lesson for any reason (illness, vacation, personal matters), no refund is possible or make-up lesson is guaranteed. However, we understand that life happens. If a make-up lesson is possible within the teacher's available hours and the semester timeline, it may be arranged at the teacher's discretion.

4. Location & Online Lessons

  • Primary Location: Lessons take place at our studio in Utrecht unless otherwise specified.

  • Alternative Arrangements: In exceptional circumstances, lessons may be moved online or to an alternative location.

  • Online Requirements: In case of online lessons, the student is responsible for ensuring a stable internet connection, a functional camera, and adequate audio equipment. De Molen ArtHouse is not liable for technical disruptions caused by the student's setup.

5. Concerts

  • Student Performances: De Molen ArtHouse organizes student concerts twice a year. Participation is highly encouraged and should be communicated individually through our teachers. The participation of those events is included in the standard tuition package.

6. Teacher-Student Relationship

  • Administration: De Molen ArtHouse handles all administrative communication, scheduling, and billing. Teachers focus solely on the pedagogical and artistic aspects of the lessons.

  • Direct Contact: While administrative matters are handled by the school, students and parents are welcome to communicate directly with their teacher regarding lesson content, progress, and artistic goals.

7. Termination & Disputes

  • Early Termination: If a student wishes to terminate their subscription before the end of the semester, the remaining fees are non-refundable.

  • Dispute Resolution: In the event of a disagreement, we strive to resolve issues amicably through open dialogue. If a resolution cannot be reached, the matter will be handled according to Dutch law.

8. Privacy & Data

  • By registering, you consent to De Molen ArtHouse processing your personal data in accordance with our Privacy Policy. We are committed to protecting your privacy and only use your data for administrative and educational purposes.

Group Courses & Ensembles

1. Course Structure & Commitment

  • Fixed Curriculum: Group courses consist of a set number of 20 weekly lessons scheduled over a semester. Specific dates, times, and duration are outlined in the course syllabus provided upon registration. he complete academic calendar for 2026-2027 can be found here.

  • Regular Attendance: Participants are expected to attend every scheduled session. Due to the collaborative nature of group music-making (ensembles, choirs, and classes), consistent presence is vital for the progress of the entire group.

  • Schedule Changes: The studio reserves the right to adjust the schedule slightly if necessary (e.g., holiday conflicts). Any changes will be communicated at least one week in advance. Special exceptions (e.g., double-length rehearsals) will be noted in the calendar.

2. Payment & Fees

  • Upfront Payment: The full course fee is legally due upon enrollment. An invoice will be issued, and payment must be completed before the first lesson begins. Installment are available through Klarna.

  • Non-Refundable: Enrollment is binding. The full course fee is non-refundable once the enrollment form is submitted, regardless of future attendance, personal withdrawal, or future scheduling conflicts.

3. Absences & Cancellations

  • Missed Lessons: If a participant misses a lesson for any reason (illness, vacation, travel), the lesson cannot be refunded, rescheduled, or made up. This policy ensures fairness to all group members who rely on each other's presence.

  • Studio Cancellations: If De Molen ArtHouse cancels a class due to unforeseen circumstances (e.g., instructor illness, facility issues), participants will receive a pro-rated refund for the unused portion of the fee. No additional compensation applies.

  • Transfers: Enrollment is personal and non-transferable. You cannot transfer your spot or payment to another person.

4. Safety, Liability & Duty of Care

  • Participation at Own Risk: Participation in classes is voluntary and at the participant's own risk, within the limits of the law.

  • Minor Injuries: The studio and teachers are not liable for minor injuries resulting from normal participation (e.g., tripping, minor collisions) provided appropriate supervision is maintained.

  • Medical Information: Parents/guardians must inform the teacher/studio in writing of any medical conditions, allergies, or special needs that may affect participation. The studio is not liable for incidents arising from incomplete or incorrect medical information.

  • Emergency Consent: By enrolling a minor, guardians grant consent for staff to seek immediate medical assistance in an emergency.

  • Personal Belongings: The studio is not responsible for lost, stolen, or damaged personal items (instruments, bags, etc.) brought to the premises. Please label all equipment clearly.

  • Hours of Supervision: Responsibility for children begins exactly at the start time and ends at the finish time. Parents/guardians are responsible for drop-off and pick-up punctuality.

5. Conduct & Community Values

  • Respectful Environment: We foster a space of artistic exchange and mutual respect. Disruptive behavior that hinders the learning of others may result in removal from the course without refund.

  • Performance Expectation: Most courses conclude with a short presentation or performance. Participation in this final event is highly encouraged as part of the learning journey.

6. Privacy

By registering, you consent to De Molen ArtHouse processing your data for administrative purposes. Photos or videos taken during presentations may be used for promotional purposes unless you opt out in writing.

Acceptance of Terms By completing your registration and making a payment, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.

De Molen ArtHouse reserves the right to update these terms at any time. Changes will be communicated clearly to all registered parties.
